Project management software for small teams

Project management software, where nobody has to ask who's up.

Tasks with a responsible person and a due date, a project status without polling everyone, and decisions right on the project. Here you see what matters when choosing and what Peak One can do today.

Quick overview

What project management software does.

Project management software
It breaks a project into tasks, records who takes which task and by when, and shows how far along the project is. The difference from a to-do list: every task belongs to a project and has a person responsible.
Example
After the kickoff of a customer project, an agency creates every task discussed, assigns it to a person with a due date, and discusses open questions in the project itself rather than in someone else's chat channel.
Common mistakes
  • Buying a tool for fifty people when there are five of you
  • Creating tasks without a responsible person
  • Project in the tool, decisions still in the inbox

How you know it's time

Three characters, that notes and inbox are no longer enough.

  • In the project meeting, everyone first asks who is actually working on what.
  • A task sits there because two people thought the other would take it.
  • You only find out how far along a project is by asking everyone involved individually.

Selection guide

What matters in project management software.

Eight criteria, pre-weighted for agencies, consultancies, and small teams. Set what is a must, a should, or doesn't matter to you, and see where Peak One fits and where it doesn't.

  1. Tasks with an owner and a due date

    Available in Peak One

Every task says what needs to be done, who takes it on, and when the next step is due.

Peak One: On each task you record the person responsible and the next step; Peak Board shows owners and due dates.

How important is “Tasks with an owner and a due date” to you?
  2. Project status at a glance

    Available in Peak One

See where a project stands without asking around before every meeting.

Peak One: A project overview shows how your projects are doing. Which details it shows isn't described on the website yet.

How important is “Project status at a glance” to you?
  3. Board and timeline

    Available in Peak One

See work by status in columns and, when order matters, as a timeline.

Peak One: Peak Board shows projects as kanban and the same cards as a timeline. Cards can also be moved by keyboard.

How important is “Board and timeline” to you?
  4. Coordination right on the project

    Available in Peak One

Decisions live where the work is, not in a separate chat.

Peak One: Each board has its own chat (ChatBoard); messages link to cards and vice versa.

How important is “Polls right on the project” to you?
  5. Team and guests with the right permissions

    Partial

Who sees which project, and what customers or freelancers may see.

Peak One: Whoever belongs to the company sees its boards; guests see only what's shared. How you invite team members and which roles exist isn't described on the website yet.

How important is “Team and guests with the right permissions” to you?
  6. Bring over existing projects

    Available in Peak One

Bring over ongoing tasks from your current tool instead of retyping them.

Peak One: Asana and Trello can be connected and moved to Peak Board as a one-time transfer; ClickUp, monday.com, and Todoist can also be connected.

How important is “Importing existing projects” to you?
  7. Goals and milestones above the tasks

    Partial

Recognize whether the work moves the project goal forward, not just whether boxes are ticked.

Peak One: A roadmap shows how work progresses from goal to task, and Peak Work knows goals and milestones. How goals and project tasks are linked in detail is only briefly described on the website.

How important is “Goals and milestones above the tasks” to you?
  8. Time tracking, budgets, and dependencies

    Not yet verified

Log hours per project, track budgets, make tasks dependent on each other.

Peak One: The website doesn't describe time tracking, project budgets, or dependencies between tasks. Check this in the app before deciding.

Example from practice

A customer project, from kickoff to approval.

  1. TriggerA website relaunch has been commissioned, the kickoff meeting is over
  2. 01 · ProjectCreate a boardOne project, one board.
  3. 02 · TaskAssign tasksEvery task discussed, with a person and a due date.
  4. 03 · ChatSettle it in the project chatThe open question about the color concept right on the board.
  5. 04 · Peak DayPlan into the dayEach person plans their tasks into their day.
Result: After the meeting, everyone knows what's on their plate. Whoever completes a task in Peak Day has also completed it in the board, and the project status is the same for everyone.

Is this right for you?

Put in honest perspective.

Peak Atlas runs this page. That's why it also says when a specialized project tool is the better choice.

Peak One is a good fit if

  • You're a small team carrying out customer or internal projects together.
  • Tasks, coordination, and your personal daily plan should run on the same data, without reconciling by hand.
  • You're coming from Asana or Trello and want to bring ongoing projects with you.

Something else fits better if

  • You need time tracking, project budgets, or dependencies between tasks. The website doesn't describe that for Peak One.
  • You plan large programs with resource utilization across many teams. A classic project portfolio tool is built for that.
  • You only want to organize your personal to-do list. Then daily planning without projects is enough.

Frequently asked questions

Briefly answered.

What's the difference between project management and task management software?

Task management organizes individual tasks. Project management attaches every task to an undertaking with a responsible person and shows how the whole project is progressing. In small teams the line blurs; what matters is whether you need to see the project status together.

Kanban or timeline: what do I need?

A kanban board shows what status each task is in. A timeline shows the order across the weeks. Many teams work in the board and look at the timeline when a deadline gets closer. Peak Board shows the same cards in both views.

How many features does a small team really need?

Usually less than you'd think: tasks with a person and a due date, a visible project status, and a place for decisions. Time tracking, budgets, and resource planning pay off when you bill by them or have many projects running at capacity at once.

Can I take ongoing projects with me from my current tool?

You can move tasks from Asana and Trello to Peak Board as a one-time transfer. ClickUp, monday.com, and Todoist can also be connected; their tasks become tasks in Peak Board, not a second list.

Can customers or freelancers collaborate in a project?

Guests see only what's shared with them. How you invite people and which roles exist isn't described on the website yet; check this in the app before deciding.

Every project task with a person, a due date, and a visible status.
