Problem · Documents can't be found
The contract is somewhere. Just not where you're looking.
Important documents are in drawers, emails, downloads, and phone photos. As long as nobody asks, you don't notice. A short checklist sets what goes where.
Organization checklist
Nine points. After that, you know where everything is.
Check off what you already have. What stays open is your list for the next quiet weekend.

Assumptions and limits
- The checklist does not replace legal or tax advice on retention periods.
- Digital copies don't replace every original. Certificates and some contracts you need on paper.
- None of it is saved. Copy the result before you close the page.
Your entries stay in this browser. Nothing is saved or sent.
How you'll notice
Always in demand at the wrong moment.
- The landlord asks about a detail in the lease, and you search for half an hour.
- The application is missing a reference that is somewhere on your old phone as a photo.
- With your tax return, you start every year by searching for the same receipts.
Understand the causes
Four reasons why documents disappear.
- 01
No fixed place
- How you'll notice
- Papers lie in the kitchen, in the hallway, and in the desk.
- Why it happens
- If there's no place for it, every document ends up wherever you last had it in your hands.
- What helps
- Set one folder or box for paper and one folder for files.
- Limit
- Two places are fine, as long as each one is clear. More quickly become too many.
- 02
Digital copies are scattered
- How you'll notice
- The invoice is in an email, the contract in the downloads folder, the certificate as a photo.
- Why it happens
- Every document arrives by a different route and stays where it landed.
- What helps
- Move everything important from emails and downloads to the one digital place.
- Limit
- Using the inbox as an archive only works as long as you know the exact search term.
- 03
File names without meaning
- How you'll notice
- The folder holds "Scan_0041.pdf" and "Document(3).pdf".
- Why it happens
- There's no time for a name when saving, and later you don't know what's in it.
- What helps
- Put the year, type, and sender in the file names.
- Limit
- Good names only help if you assign them the moment you save.
- 04
Filing only happens in an emergency
- How you'll notice
- Order only happens once a year, when taxes are due.
- Why it happens
- Filing has no deadline, so it piles up.
- What helps
- Schedule a fixed monthly appointment just for filing.
- Limit
- When hardly any mail comes in, one appointment per quarter is enough.
Ways to solve it
Order mainly needs one place.
| Way | Enough if | Limit |
|---|---|---|
| Binder with a few tabs | Most of your documents arrive on paper. | On the road you have nothing with you, so digital mail stays out. |
| Cloud folder with a clear structure | You scan consistently and name files carefully. | No place for notes and lists that belong to a document. |
| Peak One | You want to keep documents next to notes and lists and see what a file is about. | This page doesn't list which file formats are supported or how much storage there is. Originals stay in the folder. |
Peak One in action
From the pile to the filing.
- TriggerWhere is the lease?
- 01 · NotepadSignalIf you realize a document is missing, you note it in the notepad right away.
- 02 · File storageUnderstandingFile Storage shows where which file is and what it is about.
- 03 · LibraryDecisionIn the document library you see which documents you have, and decide what is still missing.
- 04 · Focus sessionActionWith the focus timer, you work on just the pile for one session and record where you stand at the end.
The apps for it
So that documents stay findable.
Three steps
Sorted on the weekend. Without a new shelf.
- 01 / 03
The important list
Write down the ten documents you would need right away in an emergency.
- 02 / 03
Set two places
One folder for paper, one folder for files. Everything important goes there.
- 03 / 03
One appointment per month
Schedule a fixed time for filing so the pile never builds up in the first place.
Frequently asked questions
Briefly answered.
Which documents should I always have on hand?
ID and passport, birth certificate, lease or land registry extract, insurance policies, certificates, the latest tax assessments, and power of attorney if applicable. What else belongs depends on your situation.
Do I have to keep paper documents once I've scanned them?
Not always, but often. Certificates and some contracts you need in the original. How long you have to keep what, ask your tax advisor or a consumer advice center if in doubt.
Can I store PDFs in Peak One too?
Yes. There's a place to store files that shows where each file is and what it's about. You can see which formats it accepts in the app.
