Problem · Duplicate data
Four spellings. Four statuses. None is quite right.
Duplicate data isn't a maintenance mistake. It inevitably arises when every tool creates its own copy of a customer, product or project.
Duplicate and data cleanup check
Where do they come from your copies?
Answer five questions about your customer data. The result names the most likely source of duplicates and the smallest next step.
Your result
Answer all questions. Then this shows where the problem probably starts and which small step helps first.
Assumptions and limits
- The check shows the most likely cause. It does not search your data for duplicates.
- The questions are tailored to customer data. The same patterns apply to products or suppliers.

What it costs
Every copy outdated differently.
- The contact person changes, but only in the CRM.
- The invoice is paid, but the task tool keeps sending reminders.
- Reports count the same customer twice because they exist twice.
Understand the causes
Four ways, how duplicates arise.
- 01
Double entry
- How you'll notice
- Sales and accounting each create the same customer themselves.
- Why it happens
- There is no system where a customer is created first.
- What helps
- Set one leading system for customers; all others take over from there.
- Limit
- When tools can't take over data, retyping remains, but only with a clear template.
- 02
No shared key
- How you'll notice
- No tool knows that two entries mean the same company.
- Why it happens
- Names and spellings change; without a number, there's nothing fixed to match against.
- What helps
- Assign a customer number and keep it in the same field in every tool.
- Limit
- The number only helps if it's updated with every new entry.
- 03
Imports without reconciliation
- How you'll notice
- After every trade fair, known contacts show up a second time.
- Why it happens
- Lists are imported without checking them against existing records first.
- What helps
- Before every import, match by email address and merge hits instead of creating new records.
- Limit
- People with several email addresses still slip through.
- 04
Nobody is in charge
- How you'll notice
- Errors are noticed but not corrected.
- Why it happens
- Everyone is responsible for data upkeep, and so no one is.
- What helps
- Name one person who merges duplicates monthly.
- Limit
- Cleanup treats symptoms. The source of the duplicates remains until the other three causes are resolved.
The difference
Map instead of copying.
In Peak One, every object exists exactly once: person, company, task, project, product. When a record comes from another tool, it is mapped. A Shopify product becomes a Peak product, and the Shopify ID stays as a reference.
Statements about an object carry source, confidence and validity. Enriched data, for example from Apollo, stays identifiable as a source and does not overwrite confirmed facts.
One identity
One company, many sources.

Ways to solve it
Tidying up helps. Avoiding helps for longer.
| Way | Enough if | Limit |
|---|---|---|
| Merge duplicates by hand regularly | You have a few hundred customers and one person with dedicated time for it. | Treats symptoms; new duplicates keep appearing. |
| Shared customer number across all tools | Your tools have a free field, and the team reliably enters the number. | Depends on discipline; imports bypass it easily. |
| Duplicate feature in the CRM | Almost all customer data is in one CRM. | Works only inside this tool, not in accounting or projects. |
| Peak One | Data from several tools should be matched to the same objects instead of copied. | Existing duplicates in the source systems are cleaned up there, not by Peak One. |

Three steps
Fewer duplicates. From the next entry.
- 01 / 03
Set the leading system
Decide where a customer is created first. All other tools take over from there.
- 02 / 03
Assign keys
Give every customer a number and keep it in the same field in every tool.
- 03 / 03
Check imports
Before every import, match by email address. Merge hits, don't create new records.
Frequently asked questions
Briefly answered.
How do I find duplicates in a spreadsheet?
Sort by email address or phone number instead of name. Identical addresses next to each other are almost always duplicates, even if the name is spelled differently.
Does Peak One clean up existing duplicates?
Peak One maps connected records to central objects instead of creating new copies. How existing duplicates in your source systems are merged depends on the tool in question.
What happens when two sources contradict each other?
Statements carry their source and confidence. Confirmed facts are not overwritten by enriched data.
